Keeping People on the Important Decisions

The smartest design choice in any AI automation is deciding which steps a person must still approve.

You'll hear the phrase human-in-the-loop a lot. In practice it means this: a person reviews or approves the steps that carry real risk, while the AI handles the routine volume. It's the most important design choice in any automation — because accountability stays with a human where it matters.

AI is fast and consistent, but it can also get things wrong while sounding sure of itself. Letting it act unchecked on a high-value payment, a legal commitment, or a sensitive customer matter is where things go sideways. The fix is simple: decide up front which steps a person must sign off.

Which steps should always have a human check?

Anything where a mistake is expensive, hard to reverse, or damaging to a relationship. Payments above a set threshold, legal or contractual replies, complaints, and sensitive personal information are the usual candidates.

Routine, low-stakes, high-volume steps are the ones you can let the AI run with — reading invoices that match a purchase order, routing a standard sales enquiry, assembling a weekly status report for review.

How do you set the boundaries?

Write down what the AI can do on its own and what needs sign-off. A short internal note covering approved tools, data handling, and approval thresholds keeps everyone consistent.

Don't set it once and forget it. As the team gets comfortable and the automation proves reliable, you can safely widen what it handles alone. Start cautious, watch how it performs, expand when the evidence supports it.

Does a human check slow everything down?

No — because the human only reviews the exceptions and the high-risk steps, not every item. The AI clears the routine volume, so someone who once processed hundreds of items now reviews the few that need judgement. The overall process gets faster, while the risky decisions stay under human control.
