This isn't a debate about whether AI is "the future". It's a practical question: which process do we tidy up first?
Pick the right first process
Choose something high in volume, fairly predictable, and not the centre of a high-stakes decision. Invoice data entry, enquiry routing, and routine reporting are good early candidates. A well-chosen first project proves the value quickly and builds confidence for the next one.
Ask yourself: what does someone on your team do every day that feels like "the same thing again"? That frustration is often the signal.
Measure the time saved
Before you automate, note how long the process takes and how often errors creep in. After, measure the same things. Real numbers on hours saved and errors reduced tell you whether it's working — and make the case for expanding.
Time saved is only part of it. Reports land on schedule instead of slipping when the usual author is away. A consistent format also makes month-to-month comparison easier.
Bring your people with you
Automation works best when the team understands what the AI is doing, where it stops, and how to handle the exceptions it flags. A short walkthrough removes fear and builds trust. The goal is less friction for your people — not replacing their judgement.
When staff are brought in early and shown how it helps them, adoption follows. Drop it on them with no explanation and they'll go back to the old way — and you get none of the time back you paid for.
Then expand to the next process
Once the first automation is proven and trusted, move to the next one on the list. Each frees more time and makes the next project easier, because the business already knows how this works.
